Information you may choose to provide
An inquiry may include your name, email, phone number, renter search details, information about a property you own and the message you write. Do not include social insurance numbers, banking details, identity documents or rental application records in a general inquiry email.
Inquiries and viewing bookings
General inquiries are delivered to the Homes for Rent Ottawa email inbox. Property inquiries are also retained with the relevant listing so the leasing team can respond and track follow-up. When you reserve a viewing, the selected property and time, your name, phone number and SMS consent are sent to the viewing scheduler. A booking record is retained for operational follow-up, and confirmation and schedule updates are sent by SMS. Agreeing to the SMS disclosure is required to use online viewing booking, but it is not a condition of renting; you may contact the leasing team about the property instead.
Why information is used
We use contact details and inquiry content to understand and respond to your request, coordinate a rental or owner conversation, maintain appropriate business records and protect our communications from misuse. We will explain any materially different purpose before using your information for it.
Service providers and disclosure
Website hosting and security infrastructure may process an IP address, request details and limited security logs needed to deliver and protect the site. Cloudflare Turnstile helps protect landlord and viewing forms from automated misuse. Email, viewing scheduling, SMS and calendar providers process the information needed to deliver those services. We do not sell personal information submitted through an inquiry or viewing request.
Retention and safeguards
Inquiry records, viewing records, consent records and related correspondence may be kept while needed to respond, coordinate a viewing, support a continuing service relationship, maintain appropriate business records or meet security and legal obligations. Access is limited to legitimate business and service-delivery purposes.
Cookies and measurement
We use essential, secure session cookies to protect online forms and the private listing manager. We also use Google Analytics to understand website use and improve renter and property-owner paths. Its default measurement can collect session activity, approximate location, and browser or device information, and can use a first-party _ga cookie with a randomly generated client identifier. You may ask how inquiry information is handled or request access or correction where applicable by emailing info@homesforrentottawa.ca. Identity may need to be verified before a privacy request is completed.
